POSITION OBJECTIVES:
The Project Associate, NS TAU Business Operations will support the Therapeutic Area Unit (TAU) to manage and report on strategic business initiatives and activities critical to the efficient operations of the TAU.
Specific duties include:
- Management of the processing of Health Care Provider (HCP) consulting engagements, confidentiality disclosure agreements, Advisory boards, corporate sponsorships, and medical educational grants.
- Logistical/event support for internal Takeda events like NS Pipeline Review Forum, NS Summits, Clinical Review Board, Lunch & Learn events
- Logistical/event support for Takeda organized events with Health care Professionals/Key Opinion Leaders like Ad-Boards, Scientific meetings
- General operational support for NS TAU Administration, Onboarding and Infrastructure
POSITION ACCOUNTABILITIES:
NS TA Administration and Infrastructure:
- Provides project management support for TAU-level general infrastructure and business operations projects/initiatives that may include:
- Tracking and monitoring compliance performance as related to non-GXP, GXP training requirements
- Providing general project management support for TAU Leadership Team members, including but not limited to goals reporting, DE&I initiatives, resource management/budget category tracking; contributing to maintaining onboarding presentation materials, TAU charter and participating to new hire orientation process
- NS TAU Business Operations subject matter expert for Takeda systems and infrastructure, including but not limited to, PO creation & management systems, contracting systems, financial tracking systems, KPI tracking systems, etc.
Contracting activities and consulting engagements:
- Manage end-to-end coordination of:
- HCP consulting agreements
- CDAs (Confidential Disclosure Agreements)
- Sponsorships, grants, and patient engagement activities
- Serves as a liaison for Contracts, Legal, Compliance and independently resolves routine contractual issues within consulting agreements and service agreements
- Manages transparency reporting reconciliation activities in accordance with U.S. Sunshine Act and/or local regulations
Advisory Boards & Event Execution
- Lead logistics and coordination for:
- Advisory boards
- Takeda organized Scientific meetings
- Responsibilities include:
- Vendor coordination
- Location logistics, AV and catering
- Agenda/material tracking where needed
- End-to-end execution support including approvals from Ethics & Compliance
NS TA Forums, CRB & Events
- Provide meeting/activity planning and execution support related to designated TAU-sponsored events and programs according to TA strategy and budget
- Provide logistics support and associated follow ups for Clinical Review Board including maintaining CRB Document repository
- Provide logistics and A/V support for other NS TA Forums, & events on an needed basis (i.e. Townhalls), coordinate minute archiving and distribution
EDUCATION, BEHAVIORAL COMPETENCIES AND SKILLS:
- Bachelor’s degree in business or communications or science related background with experience in business related or event planning activities/support
- 1-3 years’ experience in the business related or event planning related support or biotechnology/pharmaceutical industry experience
- Strong problem-solving and project management skills with a proven ability to manage multiple projects and prioritize appropriately
- Excellent written and verbal communication skills with a proven track record collaborating with others to achieve goals
- Ability to proactively identify business problems/ risks/issues and facilitate issue resolution and risk mitigation, and triage appropriately
- Team-oriented, with effective and efficient mindset
- Self-starter with ability to learn and adapt to new environments/changes in environment
- Demonstrated proficiency with PowerPoint, Excel & Word required, Microsoft Project experience is a plus; ability to learn new software/technical systems and trouble-shoot minor issues
- Knowledge of Healthcare Compliance, including U.S. Federal Sunshine Act, a plus.

For Location:
USA - MA - CambridgeU.S. Base Salary Range:
$71,800.00 - $112,860.00
The estimated salary range reflects an anticipated range for this position. The actual base salary offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual base salary offered will be in accordance with state or local minimum wage requirements for the job location.
U.S. based employees may be eligible for short-term and/ or long-term incentives. U.S. based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S. based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.
