Job Description

Primary Duties & Responsibilities

1) Global REF Operating Model Adoption (Standards & Ways of Working)

  • Represent the Bengaluru GCC within the REF operating model; ensure site execution follows REF standards, governance rhythms, and reporting requirements.
  • Implement and maintain standardized ways of working (e.g., governance packs, KPI definitions, reporting formats, escalation paths, change control routines).
  • Contribute site insights, lessons learned, and improvement opportunities to regional/global REF forums and drive replication of best practices where applicable.

2) IFM Governance & Contract Management (ISS)

  • Act as Takeda’s senior local point of contact for ISS and lead the site governance cadence (weekly/monthly/quarterly as appropriate).
  • Maintain clear scope and service expectations aligned to the global IFM framework (MSA), applicable local SOWs, and Takeda policies; drive disciplined change control and documentation.
  • Hold the IFM partner accountable for contractual performance, operational discipline, service quality, and continuous improvement commitments; challenge constructively and escalate when outcomes, risks, or budget integrity are threatened.

3) Service Outcomes Oversight (Soft & Hard Services)

  • Provide strategic oversight of soft and hard services to ensure consistent outcomes across the site (e.g., maintenance performance, workplace services, helpdesk/work order responsiveness, vendor coordination).
  • Lead cross-functional operational alignment and decision-making across local stakeholders (and engage regional/global partners when required) to secure end-to-end service outcomes and colleague experience.

4) Performance Leadership (KPIs / SLAs / RCA / Continual Improvement)

  • Own site KPI/SLA performance leadership: definition, monitoring, validation, performance reviews, and structured improvement plans with ISS.
  • Ensure timely and effective root cause analysis and corrective/preventive actions; verify evidence, effectiveness, and recurrence prevention.
  • Drive measurable continual improvement and benefits realization.

5) Commercial & Financial Stewardship (OPEX / CAPEX / Forecast / Invoice Governance)

  • Own facilities OPEX planning and forecasting; ensure transparency, variance control, and disciplined financial governance in alignment with Takeda processes.
  • Validate supplier charges/invoices against scope, delivery, and agreed commercial mechanisms; ensure audit-ready supporting documentation and controls.
  • Co-develop and maintain a site CAPEX roadmap aligned with growth, reliability, compliance, and sustainability priorities; coordinate execution interfaces with internal teams and partners.

6) Data-Driven Operations & Service Data Quality

  • Drive data-driven operational management through KPI analytics, trend monitoring, exception reporting, and performance transparency.
  • Ensure data quality for key operational datasets/systems (e.g., CMMS/CAFM/work order data) to enable reliable insights and decision-making.
  • Translate operational data into executive-ready insights, priorities, and improvement actions.

7) Risk, Compliance, Incident & Continuity

  • Ensure facilities operations are delivered in compliance with applicable laws and Takeda policies; maintain documentation readiness for audits/inspections.
  • Lead facilities incident response governance for major disruptions (e.g., critical system outages, leaks, safety/security-relevant facilities incidents), including stakeholder communications and after-action reviews.
  • Support business continuity routines and operational resilience expectations through supplier readiness, escalation discipline, and lessons learned.

8) GCC Growth, Scaling & Change (Core to the Role)

  • Lead facilities/workplace readiness for GCC growth and scaling: capacity increases, expansions, reconfigurations, and evolving workplace requirements.
  • Translate growth demand into an operational plan across ISS services, landlord/building management interfaces (as applicable), and Takeda stakeholders.
  • Drive operational maturity initiatives (clear operating rhythm, role clarity, scalable service design) and coordinate stabilization (“hypercare”) after major changes where required.

9) Landlord / Building Management Interface (as applicable)

  • Serve as the senior local point of contact for landlord/building management matters impacting Takeda leased premises, coordinating resolution via ISS and relevant parties.
