Job Description

Job Summary:

The Executive Coordinator, R&D Operational Excellence provides administrative and operational support to the Head of R&D Operational Excellence and the broader Operational Excellence (OpEx) organization. The role supports day-to-day leadership operations while enabling coordination, tracking, and communication of OpEx initiatives across Takeda R&D.

This position is suited for a highly organized professional who can operate effectively in a senior-leader environment and support execution of transformation, continuous improvement, and governance activities.

Key Responsibilities:

Administrative & Executive Support

  • Manage complex calendars and meeting schedules for the Head of OpEx or OpEx leadership, as assigned.

  • Coordinate onsite, hybrid, and virtual meetings, including agendas, materials, and follow-up actions.

  • Partner with administrative colleagues across R&D and the enterprise to support leadership coordination.

  • Process purchase orders, invoices, expense reports, and basic budget tracking in line with company policies.

  • Support onboarding/offboarding logistics, organization charts, headcount tracking, and internal communications.

  • Maintain Teams, SharePoint, and other Microsoft 365 collaboration spaces.

  • Provide backup administrative support as needed.

Operational Excellence Coordination

  • Coordinate OpEx governance forums, leadership meetings, and working sessions.

  • Track actions, milestones, and deliverables across OpEx initiatives.

  • Support execution of transformation, continuous improvement, and change initiatives.

  • Maintain trackers, templates, dashboards, and documentation repositories.

  • Prepare presentations, summaries, and briefing materials for leadership.

  • Support planning and logistics for workshops, meetings, and offsites.

Qualifications:

Education & Experience

  • Bachelor’s degree preferred.

  • 2–4 years of experience in administrative, operations, or coordination roles.

  • Experience supporting senior leaders preferred.

  • Experience in pharmaceutical, biotech, healthcare, or regulated environments preferred.

  • Exposure to operational excellence, transformation, or strategy work is a plus.

Skills & Competencies

  • Proficiency with Microsoft 365 tools (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).

  • Strong organizational, prioritization, and time-management skills.

  • Attention to detail and commitment to quality and follow-through.

  • Professional written and verbal communication skills.

  • Ability to work independently and manage multiple priorities.

  • Discretion in handling confidential information.

  • Adaptable, proactive, and continuous-improvement oriented mindset.

U.S. Hourly Wage Range:

$28.27 - $44.42


The estimated hourly wage range reflects an anticipated range for this position. The actual hourly wage offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual hourly wage offered will be in accordance with state or local minimum wage requirements for the job location. 

U.S. based employees may be eligible for short-term incentives. U.S. based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S. based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.
