Job Description

Objectives / Purpose

The The ICSS Flex Vendor Management Specialist is accountable for the day-to-day operational execution of ICSS Flex vendor processes. The role ensures that Flex vendor engagements are accurately processed, transparently tracked, and operationally compliant, enabling smooth Demand to Fulfillment execution for Flex capacity and reliable vendor performance monitoring.

Success in this role is measured by process reliability, data accuracy, timely execution, and effective coordination across ICSS, Procurement, and vendor stakeholders. The Specialist operates under established governance and works in close partnership with the ICSS Flex Vendor Operational Manager.

ACCOUNTABILITIES

Flex Vendor Operations and Governance Support

  • Own day‑to‑day execution of defined ICSS Flex vendor operating processes, ensuring data, trackers, and reports are accurate, complete, and up to date.
  • Deliver reliable operational inputs for governance and performance reviews, enabling clear visibility of Flex vendor engagements

Contract and Engagement Support

  • Own operational coordination of Flex vendor engagements from approval through execution, ensuring milestones, dependencies, and required documentation are tracked and completed.
  • Ensure engagements are activated on time and operational steps are executed in line with contractual and governance requirements.

Flex Vendor Performance Monitoring

  • Own ongoing monitoring of Flex vendor performance against SLAs, KPIs, and Demand to Fulfillment related operational metrics.
  • Deliver clear, timely performance reporting and maintain documented tracking of deviations and follow‑up actions to enable early issue identification.

Risk and Compliance Support

  • Own tracking and documentation of operational risks related to Flex vendor usage.
  • Ensure required compliance and audit evidence is collected, maintained, and readily available, supporting audit readiness and adherence to internal standards.

Stakeholder Collaboration

  • Act as the primary operational coordination point for Flex vendor topics, ensuring timely information flow across ICSS teams, Procurement, Finance, and vendors.
  • Clearly document, track, and escalate operational issues to support efficient resolution and decision‑making.

Continuous Improvement Support

  • Own identification of recurring operational issues, process gaps, or inefficiencies within Flex vendor operations.
  • Contribute to process improvements, standardisation, and documentation updates to improve efficiency, consistency, and transparency.

ICSS-SPECIFIC RESPONSIBILITIES

  • Own operational execution of ICSS Demand to Fulfillment activities related to Flex vendor capacity, including request coordination, proposal tracking, and system updates.
  • Ensure contract requests and related documentation are created and maintained accurately, enabling reliable linkage between demand, capacity, and delivery.

EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS

  • Bachelor’s degree in Business, Supply Chain Management, Operations, or a related field.
  • 2–3 years of experience in vendor operations, procurement support, operations, or a similar coordination role.
  • Basic understanding of vendor management, contracts, and service delivery models.
  • Strong organisational skills and attention to detail.
  • Analytical mindset with the ability to work with data, reports, and operational metrics.
  • Good communication and collaboration skills, with the ability to work across teams.
  • Ability to follow defined processes while continuously looking for improvements.

PREFERRED EXPERIENCE

  • Exposure to vendor management, procurement, or operational roles in a global organisation.
  • Experience in pharmaceutical, healthcare, or technology environments.

Familiarity with demand intake or capacity management processes.
