Job Description

This role will be responsible for ensuring the integrity, accuracy, and governance of data across the full IT hardware lifecycle. This role is central to the PC Refresh Investment Program, enabling consolidated operational and financial reporting, driving data compliance, and providing leadership with trusted, real-time insights for decision-making.

The ideal candidate will combine deep expertise in data management, financial analysis, IT hardware lifecycle reporting, and business intelligence tools with a proven ability to integrate complex systems, automate reporting, and ensure robust governance practices.

OBJECTIVES:

Data Quality & Governance

  • Ensure integrity, accuracy, and compliance of procurement, asset, expense, and disposal data across the full asset lifecycle.
  • Develop and enforce validation frameworks to manage capitalization, depreciation, and disposal of IT hardware.
  • Reconcile data discrepancies across procurement, asset, and financial systems to ensure reliable operational and financial reporting.

Reporting & Analytics

  • Build, maintain, and enhance advanced Power BI dashboards, integrating feeds from procurement and finance systems to provide consolidated visibility across the IT hardware lifecycle.
  • Deliver real-time reporting on lifecycle status, demand vs. delivery, and variance analysis for leadership.
  • Maintain, enhance, and continue to build the program dashboard/tool, integrating feeds from various finance systems to ensure comprehensive reporting.
  • Automate reporting and workflow orchestration to reduce manual effort and support proactive, global refresh planning.

Financial Cycles & Process Leadership

  • Drive the delivery of month-end, quarter-end, and budget preparation cycles for the program, ensuring accuracy and alignment across finance and operations.
  • Partner with finance teams to align reporting outputs with budget forecasts and planning requirements.

Cross-System Integration & Process Improvement

  • Map and validate procurement data across all stages (eligibility, PR/PO, goods receipt, invoice, closure).
  • Align financial codes (cost centers, internal orders, CapEx, GL accounts, and asset classifications) across systems such as SAP, Ariba, InvoiceTrack, and NetSuite.
  • Integrate Device of Choice and Hardware Asset Management Automation platforms into procurement and finance workflows.
  • Champion continuous improvement through automation, lean management, and agile project methodologies.

ACCOUNTABILITIES

Data Quality & Governance

  • Data Integrity Oversight: Ensure accuracy, completeness, and consistency of asset data across inventory, procurement, and financial systems.
  • Governance Frameworks: Establish and enforce data governance policies related to IT assets, including classification, ownership, and usage guidelines.
  • Data Reporting & Analytics: Develop and maintain dashboards/reports for tracking lifecycle status, refresh progress, and compliance metrics.
  • Audit & Compliance: Support internal/external audits by ensuring all asset and budget records meet regulatory, security, and internal governance standards.

2. IT Asset Lifecycle Management

  • End-to-End Tracking: Manage the full lifecycle of PCs—from procurement, deployment, refresh/replacement, to disposal—ensuring timely refresh cycles.
  • Refresh Planning: Partner with IT operations and business units to forecast upcoming refresh needs based on lifecycle thresholds and business growth.
  • Vendor/Partner Coordination: Collaborate with hardware vendors, service providers, and procurement teams to align on schedules and delivery.
  • Sustainability & Disposal: Oversee compliant disposal/recycling of retired devices, aligning with corporate ESG (environmental, social, governance) goals.

3. Financial & Budget Management

  • Budget Planning & Forecasting: Build annual and program budgets for the PC refresh initiative, aligning with organizational priorities.
  • Spend Tracking: Monitor actual vs. forecasted spend, investigate variances, and provide early warnings on risks.
  • Cost Optimization: Identify opportunities for savings (e.g., bulk purchase agreements, vendor negotiations, extending asset lifecycles where feasible).
  • Financial Reporting: Deliver timely, accurate reporting to leadership on budget consumption, ROI, and program cost efficiency.

4. Program Management & Stakeholder Engagement

  • Cross-Functional Alignment: Act as the bridge between IT, finance, procurement, and business units to ensure smooth execution of refresh cycles.
  • Risk & Issue Management: Identify and mitigate risks (e.g., supply chain delays, budget overruns, data inconsistencies).
  • Change Management: Support end-users and business units during device rollouts with clear communication, minimizing disruption.
  • Executive Communication: Present program progress, risks, and budget status to senior leadership, with recommendations for course correction.

5. Strategic Enablement

  • Process Improvement: Continuously refine refresh and data governance processes to increase efficiency and reduce costs.
  • Automation & Tools: Recommend and help implement tools for automated tracking of assets, budgeting, and reporting.
  • Alignment with IT Strategy: Ensure refresh cycles and governance practices support broader IT modernization, security, and digital workplace goals.

QUALIFICATIONS & EXPERIENCE

  • Education:
    • Bachelor’s degree (BA or equivalent required).
    • MBA or advanced degree preferred.
  • Experience:
    • 10+ years in IT business analytics, data management, and IT hardware lifecycle management.
    • Strong expertise in data mapping, KPI design, compliance, and governance frameworks.
    • Hands-on experience with Power BI reporting, automation, and system integration.
    • Knowledge of financial planning and analysis, including asset capitalization and depreciation.
    • Proven success in large-scale, global IT hardware refresh and reporting programs.
  • Systems Knowledge:
    • SAP, SAP Ariba, IBM Cognos TM1, IBM Apptio, InvoiceTrack, Adaptive Planning, NetSuite.
