Job Description
Finalité de la fonction :
Soutenir plusieurs départements de Takeda France, piloter les processs opérationnels, maintenir l'efficacité opérationnelle et contribuer à rationaliser les procédures au sein du Centre d'excellence des process sous la direction du Responsable du centre d'excellence des process (PEC).
Missions principales :
Ajuster le travail et faire preuve de flexibilité pour soutenir les différentes parties de l'organisation. Répartition de la charge de travail afin de soutenir rapidement les différentes parties de l'organisation
Soutenir l’activité des autres coordonnateurs de l’équipe en leur absence
Assurer l'uniformité des process entre les départements
Fournir un soutien administratif général et maintenance d’un système d’archivage (tenue des dossiers à jour)
Gérer le budget d'un département en transparence avec le Responsable du PEC ou du département
Coordonner le process d'intégration et de l'off-boarding des salariés
Etre responsable de toute la procédure de gestion des bons de commande, assurer que les factures soient suivies et que les services soient fournis
Mettre en place l'organisation et le suivi de bout en bout des congrès et événements internationaux, nationaux et régionaux, des réunions organisées par Takeda et la coordination des réunions internes.
Suivre les contrats de prestataires de services et de partenariats (agences, associations, organisations de soins de santé, etc.)
Vie quotidienne et fonctionnement d'un service
Créer et suivre la procédure de Due Diligence en cas de besoin
Etre acteur/actrice dans le cadre de l'audit : préparer les audits internes/externes en coopération avec le manager et les managers opérationnels
Gestion des projets transverses
Profil :
Formation secrétariat, assistanat / BTS Commerce / Gestion de projets (Bac+2/3)
Dynamique et communicant(e)
Orienté(e) vers le résultat / la résolution de problèmes
Etre à l’aise avec les nouvelles technologies
Agile, flexible
Sens aigu de l’organisation et de la gestion des priorités
Aptitude à anticiper
Bon niveau d’anglais écrit

Purpose of the Function:
Support multiple departments within Takeda France, manage operational processes, maintain operational efficiency, and contribute to streamlining procedures within the Center of Excellence for Processes under the direction of the Head of the Center of Excellence for Processes (PEC).
Main Duties:
Adjust work and demonstrate flexibility to support different parts of the organization. Distribute workload to quickly support various parts of the organization.
Support the activities of other team coordinators in their absence.
Ensure process consistency between departments.
Provide general administrative support and maintain a filing system (keeping records up to date).
Manage the budget of a department transparently with the Head of PEC or the department.
Coordinate the onboarding and offboarding process of employees.
Be responsible for the entire purchase order management process, ensure that invoices are tracked, and services are delivered.
Organize and oversee from start to finish the international, national, and regional congresses and events, meetings organized by Takeda, and internal meeting coordination.
Monitor service provider and partnership contracts (agencies, associations, healthcare organizations, etc.).
Daily life and operation of a service.
Create and follow the Due Diligence procedure if needed.
Be an active participant in audits: prepare internal/external audits in cooperation with the manager and operational managers.
Manage cross-functional projects.
