About the role:

Join Takeda as an Executive Coordinator where you will provide comprehensive administrative support to a Senior Level Executive. You will also lead other administrative support for the function. As part of the Global Real Estate, Facilities, and Procurement (GREFP) team, you will report to the Head of R&D Procurement.

How you will contribute:

  • Manage day to day scheduling of meetings, townhalls, workshops and other organized meetings with appropriate support of catering, meeting supplies, facilitators and other external vendors as appropriate.  Help to facilitate and coordinate with IT support as necessary based on the priortiies of the leader and function.

  • Use of TEAMS and other electronic project management systems to coordinate leadership meetings, PMO Meetings with supporting slides, and other information as needed. 

  • Ensure the department has all appropriate equipment including working with facilities for space needs

  • Use appropriate tools for required work including TEAMS, Microsoft Outlook, Word, Excel, and PowerPoint to track, analyze, document, and report data. Use of new technology solutions such as Smartsheets and cloud based systems.

  • Review documents and proofreads work for grammar and spelling, accuracy, consistency of terms, and completeness; ensure document text and graphics follow corporate and organization guidelines and standards.

  • Arrange travel; complete expense reports promptly including local and global travel. Assist with local logistics for department head hosted leadership members.

  • Collects, reviews, analyzes, interprets, enters, and formats accurate data into intranet, spreadsheets, databases and other electronic tools.

  • Interfaces and communicates with internal and external customers; direct people to the appropriate resources.

  • Research solutions and responds to email and phone inquiries with minimal input from direct supervisor; interact effectively with all levels of employees throughout the company.

  • Prepare documentation for payment of vendors, consultants, and suppliers; submit documentation and enter request for payments into accounting system; approve transactions; respond to inquiries from accounts payable and payees.

  • Gather input for budgets; tracks and updates budget forecasts; prepare reports for the department summarizing budget status.

  • Initiate, develop, lead, and participate in improvement processes; actively participate in resulting process improvements.

  • Understand the structure of the organization and develops a strong network across departments; draw on network to answer questions, solve problems, and successfully complete responsibilities.

  • Demonstrate and maintain confidentiality in execution of all responsibilities and information.

  • Perform other tasks as required.

Minimum Requirements/Qualifications:

  • High school diploma/GED required.  Associates degree or bachelor’s degree

  • Minimum 8 years of relevant work experience, or equivalent combination of training and experience.  Some industry experience is preferred.

  • Strong PC literacy with advanced skills in Microsoft Outlook, Word, Excel, or PowerPoint.  Comfort with technology is a plus

  • Excellent verbal and written communication skills.

  • Demonstration of excellent organizational skills

U.S. Hourly Wage Range:

$32.64 - $51.30

The estimated hourly wage range reflects an anticipated range for this position. The actual hourly wage offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.The actual hourly wage offered will be in accordance with state or local minimum wage requirements for the job location.

U.S. based employees may be eligible for short-term incentives. U.S.based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S.based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.
