Job Description
About the role:
The Administrative Assistant, Senior Support provides comprehensive administrative and secretarial services to the organization. This role supports senior executives by managing office operations, handling complex tasks, and engaging in strategic communications. By ensuring efficient office management and supporting various administrative functions, this role contributes to Takeda's mission.
How you will contribute:
Manage office supplies efficiently, ensuring all resources are available for smooth office operations
Handle multiple tasks simultaneously with precision under minimal supervision
Input data accurately into digital systems, maintaining integrity and confidentiality of information
Process invoices and manage budget allocations with attention to detail and accuracy
Communicate effectively over the phone, providing clear information and routing calls appropriately
Create and deliver engaging presentations, utilizing strong communication skills to influence and inform audiences
Organize tasks and priorities effectively, ensuring timely completion of assignments
Maintain professionalism in all interactions, upholding the company's reputation and values
Manage time efficiently, meeting deadlines and managing workload effectively
Produce well-written documents, demonstrating strong writing and grammar skills
Engage in strategic communications, skillfully handling complex interactions with internal and external stakeholders
Provide assistance and training to lower-level employees
Skills and qualifications:
At this level, you will utilize your specialized skills to tackle complex tasks, often supporting an executive at a senior level.
You will excel at identifying innovative solutions to administrative challenges and handling assignments that demand judgment and initiative.
This position requires a deep understanding of job processes, procedures, and systems, typically accompanied by solid experience in a similar role.
You will frequently engage in strategic communications, requiring skill and diplomacy, with contacts both within and outside the organization.
Despite minimal supervision, you will work independently within established procedures and practices.
