Job Description
Role Purpose
The Oncology Business Operations Assistant supports the Oncology Business Unit by providing high‑quality administrative, operational, and coordination support across commercial, access and medical activities. The role ensures smooth execution of key processes such as events, congresses, vendor coordination, documentation, and purchase‑to‑pay activities, enabling Oncology teams to focus on strategic priorities.
In addition, the role actively supports the automation and optimization of internal processes, contributing to increased efficiency, simplification of workflows, and improved ways of working. The Assistant will collaborate closely with Business Operations, DD&T, and cross‑functional teams, and may support basic business projects initiated by Commercial, Medical, or Patient Value & Access functions.
Key Responsibilities
1. Administrative & Cross‑Functional Support
Provide day‑to‑day administrative and operational support to Oncology stakeholders and cross‑functional teams (Commercial, Medical, PVA, DD&T, Compliance, etc.).
Coordinate meetings, prepare materials, maintain trackers, and manage follow‑ups to ensure timely execution of actions.
Support internal communication flow and ensure information is well organized, accessible, and handled with appropriate confidentiality.
2. Events, Congresses & Logistics Coordination
Support the planning and operational execution of events, congresses, and internal/external meetings for the Oncology BU.
Coordinate logistics with vendors and internal teams, ensuring timely follow‑up and compliance with internal procedures.
Maintain accurate documentation related to events and activities.
3. Vendor Management & Purchase‑to‑Pay Support
Support the end‑to‑end purchase‑to‑pay process, including PO creation follow‑up, invoice processing, and resolution of administrative issues.
Assist with vendor onboarding and updates, ensuring accurate records and proper documentation.
Support due diligence activities in line with third‑party risk management and compliance requirements.
4. Documentation, Contracts & Compliance Support
Prepare, route, and archive contracts, Statements of Work, and related documentation, including signature collection (e.g. DocuSign).
Ensure activities are executed in compliance with local and global policies, SOPs, and operational standards.
Maintain organized, audit‑ready documentation.
5. Process Optimization, Automation & Efficiency Support
Support the identification, documentation, and optimization of internal operational processes, with the objective of reducing manual effort and increasing efficiency.
Proactively suggest practical improvements to simplify administrative workflows and enhance team productivity.
Support adoption of new ways of working by assisting with coordination, documentation, training logistics, and follow‑up.
Contribute to basic automation and digital enablement initiatives, such as templates, trackers, workflows, reporting support, and structured use of everyday digital and AI tools.
6. Business Project Support
Support small to medium business projects initiated by Commercial, Medical, or Patient Value & Access teams (e.g. operational roll‑outs, process changes, tool adoption).
Assist with coordination across stakeholders, preparation of materials, action tracking, and execution follow‑up.
Act as a reliable operational support to help move initiatives from planning to execution in a structured and compliant manner.
Required Qualifications & Skills
Bachelor’s degree in Business Administration, Marketing, or similar, or equivalent experience in administrative or business support roles.
Experience in administrative support, business operations support, or coordination roles (pharmaceutical or healthcare environment preferred).
Strong organizational skills, attention to detail, and ability to manage multiple tasks and priorities.
Strong interest in process improvement, automation, and operational efficiency, with a hands‑on and solution‑oriented mindset.
Strong collaboration and stakeholder management skills, comfortable working across Commercial, Medical, PVA, and DD&T.
Willingness to learn and support digital and automation tools, including AI‑enabled productivity solutions.
High integrity, discretion, and respect for confidentiality and compliance requirements.

Oncology teams receive timely, accurate, and reliable operational support, enabling smoother day‑to‑day execution.
Events, congresses, and operational activities are well coordinated and executed efficiently.
Administrative and purchase‑to‑pay processes are well controlled, reducing delays and rework.
Internal processes are simpler, better documented, and more efficient, with reduced manual effort.
Business initiatives and improvement projects are well supported, tracked, and delivered on time, helping Commercial, Medical, and Access teams focus on strategic priorities.
