Role: Management Assistant – Help Shape the Future of Business Process-Oriented Support at Takeda
Role Objective
As Management Assistant at Takeda Netherlands, you play a key role in supporting the organization by owning and managing one or more company-wide administrative processes. You work in a duo structure with a fellow assistant, and together you are responsible for optimizing, professionalizing, and maintaining a specific process such as Activity Management, Contracting or Procurement.
You’ll be part of the dynamic Management Assistant Team, currently consisting of 8 colleagues. We are in an exciting transition phase: shifting from Business Unit-specific support to company-wide process-based ownership. You’ll help shape this new way of working.
Digitalization, innovation, and professional development are key focus areas. While we are not fully applying digital and AI solutions yet, we are eager to learn, experiment, and evolve. What You Will Do
- Take ownership of a cross-departmental administrative process (e.g. procurement, contracting, activity management) in collaboration with a fellow Management Assistant.
- Monitor and manage the end-to-end execution of this process, ensuring high-quality, compliant, and efficient outcomes.
- Collaborate closely with internal stakeholders (marketing, sales, finance, medical, compliance, legal) to align expectations and deliver excellent support.
- Identify opportunities for improvement within our ways of working and proactively help implement them.
- Stay up to date with Takeda’s systems and tools (e.g. SAP Ariba, contract management tools) and support others in using them effectively.
- Help us explore digitalization and AI opportunities to make our processes smarter, faster, and more user-friendly.
- Support planning, coordination, and logistics of internal and external meetings and events if related to your process scope.

Experience and Education
- MBO/HBO degree (e.g. Office Management, Business Administration, Communications).
- Experience in a similar supporting or administrative role is a plus.
- Strong command of Microsoft Office (Outlook, Excel, Word, PowerPoint).
- Affinity with SAP Ariba and/or other business systems is a plus.
- Native-level Dutch and business-level English (English is our working language).
- Experience in a regulated industry (e.g. pharma, healthcare) is an advantage but not required.
Accountabilities
- Ensure efficient execution of your assigned administrative process with focus on compliance, accuracy, and stakeholder satisfaction.
- Continuously align with your duo partner and the Management Assistant team to harmonize ways of working and improve process maturity.
- Support the business in navigating internal systems and procedures related to your process domain.
- Maintain accurate documentation, templates, and workflows for consistent application across the business.
- Stay in close contact with internal stakeholders to anticipate needs and proactively improve process impact.
- Support the implementation of digital tools or smarter workflows in collaboration with relevant departments (e.g. IT, Compliance).
- Act as a reliable ambassador of the Management Assistant team and contribute to shared initiatives, events, and trainings.
