Job Description
Job Title: Executive Assistant
Location: Ho Chi Minh, Vietnam
About the role:
The Executive Assistant will provide high-level administrative support to General manager, ensuring efficient operation and coordination of activities. This role requires a proactive individual with exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The Executive Assistant will act as a liaison between the General manager, the executive team and internal/external stakeholders, contributing to the overall success of the company.
How you will contribute:
- Calendar Management: Schedule and coordinate meetings, appointments, and travel arrangements
- Meeting Coordination: Prepare agendas, take minutes, and follow up on action items from meetings.
- Document Management: Organize and maintain files, records, and documents; ensure confidentiality of sensitive information.
- Travel Arrangements: Plan and book travel itineraries, including flights, accommodations, and transportation.
- Event Planning: Assist in organizing company events, conferences, and meetings.
- Project Support: Provide administrative support for special projects and initiatives on an ad hoc basis
- Relationship Management: Act as a point of contact between the GM and internal/external stakeholders; build and maintain professional relationships.
- Office Management: Oversee office supplies and equipment; ensure the office workspace is organized and efficient.
- Technology Proficiency: Utilize various software applications for scheduling, document management, and communication
What you bring to Takeda:
- Bachelor or college decree in Business administration or a related fields.
- 2-3 years of experience in Personal Assistant of Director role
- Proficient in Vietnamese and English
- Proficient in MS365 tools especially in outlook, PowerPoint and excel. Experience in new productivity tools like planner and loop will be a significant plus
- Curiosity and willingness to learn
